Equitrac Office 4

Equitrac Office 4 are IT systems offering central monitoring of costs generated by office equipment, especially printers and copiers, determined as Document Accounting Solution (DCA).

Interest in DCA-type solutions has been systematically increasing over the last few years. The trend is connected with the possibility of reducing costs consumed by printing and copying. And that is something to save on! Research results of the company Gartner Group show that full expenses connected with the production and processing of documents can constitute even 15% of general costs of a company's activity.

One of the most known DCA solutions are products by the company Equitrac Corporation, working on the development of such systems for 26 years. Equitrac systems are used by over 10 000 organisations all over the world. Our company is the main partner of the company Equitrac in Poland.

At the beginning, the main recipients of PDA systems were law firms, using such solutions for Client billable expenses. Cost recovery systems were not used for economy, but they were in fact a tool for increasing profits. They enabled reliable cost recovery and allocating them to specific Clients and case numbers.

Employees of law firms performing copying or printing operations give the case number that the given document concerns. Usually, Equitrac systems are integrated with financial and accounting systems, from which case numbers are collected, data concerning generated costs are sent, which then change into invoices for Clients.

The company Equitrac is an unquestionable leader on the market of solutions for law firms. In the times of the DOS system, such a solution was Equitrac System 3, then together with the appearance of the graphic platform Windows - Equitrac System4. Currently, System4 has been replaced by solutions from the group Equitrac Professional, additionally embracing the control of telephone calls.

Systems for the legal market have specific functions useful for lawyers, e.g. possibility of employing three codes: law firm employee, Client no., case no. Equitrac Professional terminals look like small laptops with large colour display units, comfortable keyboard and many options of searching for codes e.g. by key words.

Equitrac Office

In the aim of expanding their offer by products directed at a wider market, in 2000, the company Equitrac bought out their hitherto partner, the Canadian company Software Metrics Inc., taking the product PAS under its trademark. Developed further by the company Equitrac Printer Accounting Server, at the beginning it changed its name to PrintLog Accounting Server to finally adopt the name Equitrac Office. The current version of the product is the Equitrac Office 4 system.

Basing on the modular build and broad functionality, Equitrac Office system is directed at a wide group of recipients. Depending on the configured options the system Equitrac can facilitate such a variety of Clients as:

  • settling costs for projects – design offices
  • levying payments from students using copiers and printers – universities,
  • monitoring work costs in the background – so-called ordinary offices.

Description of the most important functions and features of the system Equitrac Office 4

The system Equitrac Office operates on the MS Windows Server 2000/2003 platform, however, it can monitor networks operating in various environments. It can control print servers operating on MS Windows, Novell Netware, Unix or Linux.

Equitrac system stores its configuration and gathers data in a centralised database, MSDE, MS SQL or Oracle.

The most convenient option of monitoring network printers is the installation of components of Equitrac system on print servers. No interference on users’ stations is required, which greatly simplifies the administration of the solution.

Users printing are identified in the Equitrac system by the network login. Users’ accounts and membership to departments of the company can be updated in a number of ways, the most popular being synchronisation with catalogue services Active Directory.

Depending on the chosen configuration variant, monitoring of prints can be entirely invisible to employees, but can also be based on limiting the possibility of printing once the financial resources assigned in the system are used up. The budget can be assigned at the level of employees or departments. As an example, on the basis of the virtual budget mechanism, settling printing costs may take place in academic centres. Equitrac system has assigned a special version of the system for this called Equitrac Express.

Local printers, agent functions at working stations

Local printers (LPT1, USB, infrared, Blue thus, etc.) may be monitored after installing a desktop printing agent at a working station. In the same way, network printers not controlled at the level of the print server can also be monitored.

Software installed on users’ stations introduces a series of additional options, such as the possibility of checking printing costs before accepting work, external authorisation of users not logged into the domain, possibility of using billing codes – therefore, accounting works for analogical projects like in law firm systems.

Monitoring copiers

Monitoring copiers is realised through connecting the external terminal PageCounter to the copier. The terminal authorises the user and unblocking the copier’s desktop using the keyboard or card reader. Depending on the manufacturer and model of the copier, only pages are counted in the course of printing or also additional attributes of the print such as paper format or colour.

Page Counter terminals are connected to the Ethernet network and communicate with the central Equitrac server, from which employees' codes are downloaded and send counted transactions.
Terminals allow for the introduction of one or two codes (the first can be read from the card), e.g. employee’s identification and password, or employee’s code and project code.
Terminals can buffer codes in their memory enabling "offline" work in the case of a network failure or the central Equitrac server being switched off.

Monitoring copiers

Rules and Follow-You™ printing

Apart from controlling copiers, PageCounter terminals have another important functionality. They allow releasing printing works stopped on the print server.

Depending on the rules defined by the administration, the printing work can be: 1) blocked, 2) redirected to another compatible device, or 3) stopped for manual release. Not released documents, after the defined time interval, will be automatically erased. Releasing of stopped works can take place via terminals or a work station dedicated for this, so-called ReleaseStation, located for example in a reading room or printing workroom.

(Please note, that the functionality of releasing documents offered by the Equitrac system should not be mistaken for the functionality of sole multifunctional network printers allowing to enter the work code into the printing properties, with the help of which printing can be released via the service desktop of the device.In such a solution, the author makes the decision of stopping work, and it is stopped on the local disc of the printer.In the case of the Equitrac system, the work is stopped on the basis of rules defined by the administrator and remains stopped on the print server, from where it can be released for any compatible printer from the defined pool.)

For example, works deriving from the accounting department may be acknowledged as potentially confidential and will always require manual releasing to the printer, at the level of the terminal installed into the copier. The accountant will be able to release work on the device she is currently at, e.g. near the president’s office on another floor.

In the case of using local agents at users’ stations, the work printed on the local printer cannot be redirected onto another printer; however, it can display a message informing, for example, "works over 50 pages should be sent to a cheaper printer in utilization in the corridor”, while depending on the configuration of the system, the print of such works can be blocked or the decision for printing left to the author of the work.

Thanks to the deployment of the function Follow-Youprinting, only one universal virtual printer may be installedon the user's station, regardless of the working place’s location. The employee will still have the possibility of releasing the work on the closest device.

 

Direct communication interface with Canon and Xerox devices

Modern multifunctional devices Canon and Xerox have a built-in mechanism for monitoring work costs on the basis of employee codes. Thanks to the cooperation of both manufacturers with the company Equitrac, an interface has been developed allowing to integrate the offered accounting functions from the manufacturers with the Equitrac system.

Employee codes are defined centrally in the same way as for Equitrac terminals, as well as for Canon and Xerox multifunctional devices. The codes are entered at the level of a touch screen of the device’s desktop.

The Equitrac system gathers data accounted by devices concerning printing, copying, scanning and faxing, where printing and copying are accounted with all additional attributes.

Rules and Follow-You™ printing

Regardless of the configured monitoring option, the Equitrac system accounts printing costs on the basis of defined price lists. Depending on the needs, these prices may include only the most important information – number of pages, or they may differentiate the costs on the basis of such attributes as: paper format, tray used, colour, duplex, etc.


Gathered data can be browsed using the report module. On the basis of domain groups, administrators can be assigned three levels of authorisation:

  • Equitrac administrative system,
  • management of employees' accounts, departments, billing codes,
  • generating reports.

Generating reports can occur automatically in compliance with the task graphic defined by the administrator. Reports can be created in HTML, CSV or XML formats.

The Equitrac system is designed in such a way, so that it can facilitate both small companies (small business version), as well as large corporations, which computer network connects many cities.

Employees’ accounts can be identified not only by the login name, but also in the case of repeating names after the domain name. Depending on the configuration of the network and administrator’s preferences – one centralised Equitrac server can monitor objects in many locations, or separate Equitrac servers can be set up in each location, equipped in a report consolidation module from the entire organisation.


In companies requiring a non-stop work system of printing, the Equitrac system can be installed in the cluster Microsoft environment. (Both the counting system itself, as well as print servers). The system has Microsoft certification for working on Windows 2003. Finally, the Equitrac Office system is a tested solution enabling stable work even in the largest companies.
